to work in Uganda

POSITION IN THE ORGANISATION

Reports to: N+1 : Engineering Manager

N+2 : EPS Package Manage

Direct subordinates : none

MISSIONS / JOB DIMENSIONS

The Office Receptionist/Client support will serve as the first point of contact for visitors, clients, and staff, ensuring a professional and welcoming environment. The role includes managing front desk operations, coordinating communication, supporting administrative tasks, and assisting with travel and logistics arrangements

ACTIVITIES

Front Desk & Visitor Management

Greet and receive visitors, clients, and staff in a professional and courteous manner.

Manage visitor sign-in, registration, and issuance of passes while maintaining updated logs.

Direct visitors to the appropriate person or department.

Maintain a clean, organized, and presentable reception area.

Ensure adherence to company policies and visitor security procedures.

Communication & Customer Service

Answer, screen, and forward incoming phone calls.

Respond to inquiries via phone, email, and in person.

Ensure clients, callers, and visitors feel supported and valued.

Mail & Deliveries

Receive, sort, and distribute incoming mail, packages, and deliveries.

Administrative & Clerical Support

Assist with photocopying, scanning, filing, and data entry.

Maintain office supplies inventory and place orders when necessary.

Provide administrative support in planning and organizing company engagements and activities.

Prepare folders, brochures, and other company information for distribution to stakeholders

Travel & Logistics Support

Provide staff with travel support, and related requirements.

Liaise with travel agencies for bookings, payments, and follow-ups.

Support staff in processing visas, insurance, and travel documentation.

Assist with planning and execution of staff and stakeholder visit/tour schedules.

QUALIFICATIONS AND REQUIRED EXPERIENCE

Strong communication and interpersonal skills.

Excellent organizational and multitasking abilities.

Proficiency in MS Office and office equipment.

Ability to handle confidential information with professionalism.

Customer service-oriented with problem-solving skills.
