Job Description/Requirements
Job Summary:
Reporting to the Facility Administrator, the position holder will support the HR and administrative functions in all our facilities. The position holder will assist with day-to-day HR operations, office management, and administrative operations, and contribute to a safe, compliant, and patient-centered work environment.
Key Responsibilities:
Human Resources Management
· Recruitment and onboarding of clinical and non-clinical employees, including credential verification and background checks.
· Prepare HR documents such as employment contracts and new hire guides.
· Maintain up-to-date and confidential personnel files in compliance with healthcare regulations and standards.
· Track staff licenses, certifications, and training renewals; send reminders and ensure compliance.
· Support the management of employee health, wellness, and staff welfare programs.
· Handle leave tracking, shift scheduling support, and time attendance coordination.
· Handle staff benefits administration in collaboration with the Facility Administrator and the Director.
· Facilitate staff performance management by ensuring performance contracts are developed and signed, performance evaluations are completed, feedback collection is done, and performance review logistics are handled.
· Coordinate the discipline management process and ensure compliance with the labor laws and company policies.
· · Oversee Rota planning and management for efficient payroll management, locum management, and optimal leave liability.
· · Maintain and update the locum pool and provide periodic reports as and when required.
· · Maintain a filing system as per the approved requirements.
· · Track and ensure the achievement of minimal learning hours for all employees.
· · Update the Facility’s performance tracker and provide periodic reports as and when required.
· Coordinate and support training and development programs.
· Respond to employee queries and escalate issues when necessary.
· Ensure compliance with Labor laws and internal policies.
· Track and provide payroll inputs for payroll processing.
· Maintain staff attendance records and ensure staff comply with the work schedules
· Contribute to HR projects such as policy updates, surveys, and implementation.
Administrative and Clerical Support
· Handle incoming and outgoing correspondence, including phone calls, emails, letters, and memos.
· Manage office supplies and inventory and raise requisitions as required.
· Schedule team meetings and manage the calendar of key activities and events for the company.
· Coordinate logistics for hospital events, training sessions, or departmental meetings.
· Facilitate servicing and repair of office equipment.
Academic and professional qualifications
· A Diploma in Human Resources Management, Business Administration, or a related field, a Bachelor’s degree is an added advantage.
· 1–2 years of experience in an HR role (internship experience may be considered).
· CHRP certification or proof of ongoing certification.
· Must member of the Institute of Human Resource Management.
· Good understanding of labor laws and HR best practices.
· Excellent organizational and time-management skills.
· Strong interpersonal and communication skills.
· High level of confidentiality and professionalism.
· Proficiency in MS Office (Word, Excel, PowerPoint).
· Copy of national identification document(ID/Passport)
